Policies and procedures for requesting Naropa University Audio Archive materials for classroom use by college professors and high school teachers

The Naropa University Archive Project is developing audio support for literature and writing courses, enabling teachers to bring literature to life in their classrooms using the recorded voices of prominent literary figures. Our goal is to provide easy access to supporting audio materials for classroom use. The policies and procedures for requesting and using these materials are described below.

All of the recordings from Naropa’s audio archive are absolutely free to the public for educational use. Currently, over 500 hours of recordings are available for public access by streaming or downloading digital audio files from the Naropa Audio Archive Collection, hosted by the Internet Archive at http://www.archive.org/details/naropa Due to limitations on our staff and resources we ask that you initially listen to this easily downloadable audio and formulate any requests based on selections from your listening. We also ask that you read and comply with our Creative Commons copyright license, also available on the Internet Archive web site.

After you have identified the material that you feel could work well with your curriculum plan, we suggest that you select small segments of audio to play in the classroom. The segments, or clips, are suggested to be between 3 to 10 minutes in length for best effectiveness. The clips can help with classroom discussion as well as serving to encourage a longer listening session for after classroom hours.

Because our Creative Commons license does not allow for the creation of derivative works, such as edited clips from the complete files, we request that you work with us in creating and providing permission to specific edited sections of audio for your classroom use. We also understand that you may need to have some of your selections in an alternative audio format for ease of use in the classroom. To help you with this we can offer limited support in creating audio CDs, playable on any CD player, with a list of specific clips you request, recorded on the CD in the order you request. If you prefer, we can also provide MP3 files via email. Please limit your playlist requests to no more than 20 selections.

Please email the requests at least two weeks before the material is needed. We ask that you identify the clips for us by providing the recording call number and time codes for the segments you request. (Time codes are displayed when playing the downloadable files on common audio players such as WindowsMedia Player or iTunes.) The request should look similar to this:

1) Call number 79P001 -- Time 35:02 to 43:05 -- Brief description

2) Call number 81P001 -- Time 2:45 to 8:05 ----- Brief description

3) Call number 92P001 -- Time 5:02 to 4:05 ----- Brief description

The Naropa University Archive Project staff will transfer the selected clips to an audio CD and call you for a pick-up when it is completed. If you are out of the state or not within Naropa University driving distance the audio archive will mail a package to you. If you prefer the clips as an MP3 file we can email those to you. Again, please limit the requested clips to 20 or fewer.

We can only provide one master CD of your selections. If you wish to make copies of the CDs for use by your students you may do that, with the understanding that all copies are for educational use only. We are currently preparing methods for providing all of your audio clips online for students to download and study at their convenience.

We will keep a master copy of the audio materials requested in the case your CD is misplaced or damaged. Our eventual goal with this project is to create a large catalog of clips appropriate for use by a wide audience of teachers, and to supplement this catalog with suggested syllabi, reading lists and other course materials. Your assistance in providing these types of materials to us for more widespread use, and in helping to identify appropriate audio clips, is greatly appreciated.
