Electronic reserves (sometimes called e-reserves) work the same way as print reserves—except that they are available 24 hours a day, seven days a week, on any computer with an Internet connection.
There is no deadline for online sourcebook submissions, but we recommend the following suggested dates for submitting your materials. We process submissions in the order in which we receive them.
Fall Semester – August 1
Spring Semester – December 1
Summer Semester – May 1
The guidelines below must be followed so that we can equitably provide this service to the community.
- Fill out an Electronic Reserves Submission Form for each article, book chapter, or other document you submit.
- Provide copies to be scanned. Bound material can be accepted for the purpose of creating copies for students with disabilities with our OCR (optical character recognition) capable copier.
- Items must be separated, preferably with paperclips or sticky notes. If we receive one stack of paper without delineation between items, we will scan as one item.
- Individual items should be clearly single-sided or double-sided, and not mixed (i.e. not some pages double-sided, some pages single-sided in the same item). Note that there is a significant human resource cost when we must attempt to discern whether a reading is double-sided, or single-sided copied onto scrap paper.
- If sending materials to the library via interoffice mail, please send them to April Griffith. Materials delivered to the library directly can be left at the circulation desk.
- If you already have electronic files for your online reserves, you may email them to firstname.lastname@example.org.
- Include in your email your name, the course and course number, and contact info for you.
Some points on quality…the “garbage in garbage out” adage applies
- If your copies are not first generation (coming directly from the original) or at least close, readability of the scan may be poor.
- If words are cut off on your copies they will be cut off on the scan.
- Personal notes you’ve written on your copies will show up in the scan.
- If your copies have significant black borders around the sides, students printing them will waste a lot of toner. You can cut off the black borders and re-copy to remedy this, or, close the copier top when copying from originals.
- If text is highlighted on your copies, the highlighting will show up as gray on the scan. This will affect readability of the text.
- New items with any of these defects will no longer be accepted, as they cannot be used to create ADA compliant, OCR readable copies. Please review your digital items before turning them in for e-reserves. Poor copies may need to be replaced. The library now has the capability in house to create clean, OCR pdfs for students with disabilities. All e-reserves will be deleted one week after the official end of the semester. Please make sure you download any electronic copies for personal use before this date. Faculty are responsible for maintaining copies of their digital items. Due to copyright law, the library cannot keep digital copies of your sources.
We will have to reject e-reserves submissions for the following reasons: copyright law non-compliance; incomplete bibliographic information; materials do not match up with electronic submission forms, no electronic submission form submitted, or poor quality copies that cannot be easily read. Rejected submissions may be resubmitted.
